Organic certification

1 . Application procedure:

Any operator (Farmer, processor, trader, handler or exporter) who wants to get organic certification, can apply for registration of their farms to APSOPCA. He/she can apply in the following two ways: -

  • Individual operator
  • Grower Groups

a. For Individual operator:

For individual operator following documents are required to be submitted along with application form

  • Organic System plan (OSP)
  • 1 B Land document or other authorized Government land Revenue document
  • Xerox copy of Aadhaar and PAN card
  • Field map and boundaries of the farm 
  • Longitude & Latitude of the land (GPS)
  • Lease agreement if selected land is taken on lease basis, or consent letter if the land is of family members.

b. For Grower groups: -

Farmers with less land holding (small/marginal farmers) can form a grower group and the farms of the group should be in same geographical proximity having similar crop production system adopting organic production practices as per NSOP and has Internal Control System (ICS) for conducting internal inspection, organizing training programme, documentation of all farm activities etc. A group should contain minimum of 25 & maximum of 500 farmers.

APSOPCA provides organic certification services to following legal entities such as: -

  • Grower Group
  • Self-help Group (NGO)
  • Exporter
  • Govt./Non-Govt. Grower Group
  • Society
  • Company
  • Trust

For grower groups the following documents are required to submit along with application form:

  • Organic System Plan (OSP)
  • Photo, PAN & Aadhaar card of ICS Manager/Mandator.
  • Approved Farmer’s List (AFL) along with Aadhaar No
  • Agreement with APSOPCA
  • Legal document ICS/ Mandator Registration
  • Overview of farm map indicating the location of individual Production unit.
  • Format of farm diary, Farmer registration & Agreement form, Internal inspection checklist.
  • ICS Manual
  • ICS staff list 
  • Fee details (Amount, Cheque/D.D.No./Online payment/Date)

2 . Steps for organic certification:

The operator (Farmer/Processor/Trader/Exporter) who wishes to take up the organic certification programme shall comply with the procedures prescribed by NPOP and APSOPCA in entire production system.

The procedure for Organic Certification is as follows;

1. Application and its Review
Collect the application, fill it and submit to the APSOPCA office. APSOPCA sends an offer letter for inspection & certification. The operator needs to send 70 % of the offer fees as advance.

2. Evaluation
APSOPCA inspector will inspect your operational activities with regard to your compliance with the chosen standards

3. Review
After inspection, the inspection report is evaluated and the total certification costs are finalized and an invoice is sent to the operator.

4. Certification Decision
The certification committee will take the certification decision based on reports submitted.

3 . Organic processing and trading:

The processor and trader of organic products can apply for the certification to APSOPCA along with the following documents. The APSOPCA will issue the certificate for 1 year after the inspection and final approval of certification committee.

  • Site map
  • Product flow chart
  • List of ingredients
  • Source of raw materials
  • Label format
  • Transaction certificates of raw material sourced
  • MSDS (Material Safety Data Sheet)
  • Equipment used
  • Production/Sale/Purchase/stock register
  • Proof of food grade material for packing
  • Non-GM declaration for products
  • FSSAI Certificate

4 . Input approval:

The Producer and distributor of organic products can apply for the approval to the APSOPCA along with the following documents. APSOPCA will issue the certificate for 1 year after the inspection and final approval of certification committee.

  • PAN & Aadhaar card of operator
  • Registration document
  • Quality Manual
  • List of Products
  • List of Machinery/ Equipment
  • Product flow chart
  • List of ingredients
  • Source of raw materials
  • Composition of Products
  • Test Report (if any)
  • MSDS (Material Safety Data Sheet)
  • Annual and per day production capacity (in MT)
  • Site plan, location map & map of production site
  • Label format

5 . Wild harvest:

The wild harvest collector can apply for the certification to APSOPCA along with the following documents. APSOPCA will issue the certificate for 1 year after the inspection and final approval of certification committee.

  • Registration document
  • A copy of Aadhaar and PAN card
  • Organic System Plan (OSP)
  • Site map (Division/Range)
  • Permission from forest department
  • Collection Manual with collection practices
  • Collectors list
  • Approved list of products with Plant parts, Collection period, Botanical Name, potential and estimated collection quantities by forest Department
  • Maps for location and collection area
  • Storage sites
